After our incredibly fast sell-out, some clans are struggling to find anywhere to sit together. This scenario was unavoidable with the event selling so quickly, many people didn't manage to organise their whole clans in time.
Nevertheless this is a scenario we have made plans for. There is still a block of seats that haven't been opened yet which will allow us to both give places to those on the waiting list and, more importantly, sit separated clans together.
Notifying us of a fragmented clan
If your clan is not sat together then you need to tell us before Monday 12th May. To do this you first need to do two things:
1. Ensure that your entire clan makes one person the manager of their seating arrangements. You can allocate one person from your clan to administrate your seats, in order for us to be able to see who is in your clan everyone must have the same person nominated as their seating manager. To select someone as your manager, search for their name and then click the "make manager of your seat" link.
2. Once your whole clan has given control to the nominated member then your seating manager should select "Request Clan Consolidation" link in their "Your Booking" details on the seating plan.
This will bring up a confirmation box - hit confirm and we'll receive the notification of your fragmented clan. We will then endeavour to move all bookings that are managed by that person to be sat together - please note that only your clan's seating manager will be able to request a clan consolidation.
Seat picker frozen from 12th May
From Midday on Monday 12th May the seat picker will be locked whilst we make changes. This is the deadline to have notified us that your clan is not sat together.
We will then use the unopened block of seats to help accommodate clans that need sitting together. Please note that whilst we will try and keep clans in their selected game areas, this will not always be possible.
We will not significantly move clans that have not put in an admin request to be sat together. Your clan as a whole may move up or down your row slightly but will not be split up. We will be shuffling people along rows to ensure there are groups of empty seats, rather than single places dotted around.
Seat picker thawed out from 14th May
On the afternoon of Wednesday 14th May we will open the seat picker again for people to make any adjustments they like, including into the new empty seats created.
Over the weekend only those who already have tickets will be able to play around with their places on the plan.
Monday 19th May - final seats sold
From Monday 19th May we'll be contacting those people on the waiting list in order to fill up the new seats we have opened. Those on the waiting list should ensure they have their details up to date in their profile - especially telephone number.
Our enquiries line will be open until 10pm on Monday May 19th to give people a chance to call us back and arrange payment for their place.
We are confident that this procedure will allow us to get all members seated as they wish and with the minimum amount of worry for you, the gamers.
